    TeachFlow

    Legal

    Privacy Policy

We are committed to protecting the privacy of educators, students, and families who use TeachFlow.

    Last updated: October 22, 2026

This Privacy Policy explains how TeachFlow ("we," "our," or "us") collects, uses, and protects information about you when you use our platform. Please read it carefully.

    1. Information We Collect

    Account Information

When you create an account, we collect your name, email address, and role (teacher, student, parent, administrator). We may also collect your school or district affiliation. TeachFlow has no passwords: you sign in with a one-time code we email to you, which works once and expires after 10 minutes, so we never collect or store a password.

    Signing In Through Your School

Students can also open TeachFlow from their school's learning system, without a sign-in code. Then that system tells us who they are (their name, their email address if the school shares it, and the class they're in), and we use it only to show them their work and send their grades back to that system.

    Usage Data

We automatically collect information about how you interact with TeachFlow, including features used, pages visited, quiz and essay submissions, lesson plans created, and AI tool usage. This helps us improve the platform.

    Educational Content

We store content you create or upload, including lesson plans, assignments, quizzes, essays, rubrics, worksheets, and student performance data. For teachers, this includes class rosters and behavior records.

    Photos From the Phone App

The TeachFlow phone app uses your camera only when you choose to scan student work, such as a stack of paper essays. Those photos are stored with the essay, the same way as files you upload, and are deleted when you delete your account. Photos a student hands in are part of their work, so they stay with their teacher's class when the student deletes their account, as their grades do. If you pick a photo from your photo library instead, only the photo you pick is uploaded. The app doesn't use the camera for anything else and never records sound.

    Push Notifications

If you allow notifications in the phone app, we keep a notification token for your phone so we can tell you when work is turned in, a grade is released, a message arrives, or there's a new announcement. You can turn each kind off in Settings, or turn notifications off for TeachFlow in your phone's settings. Signing out of the app or deleting your account removes your phone's token.

    In-App Purchases

If you subscribe in the phone app, Apple (through the App Store) or Google (through Google Play) handles the payment. We receive which plan you bought and whether it's active, renewed, or canceled, never your card or bank details.

    Help Requests

When you ask us for help in the app or on our website, we keep your message, our replies, and the account it came from, so we can answer and follow up. Your help requests are deleted when you delete your account.

    Third-Party Integrations

If you connect Google Classroom or other third-party services, we collect and store OAuth tokens and the data you authorize us to access (such as course lists and student rosters).

    Device & Technical Information

We collect browser type, operating system, IP address, and other technical identifiers to ensure security and platform compatibility.

    2. How We Use Your Information

    Providing the Service

We use your information to operate TeachFlow, including authenticating your account, delivering AI-powered grading and lesson planning, syncing with integrations, and sending you relevant notifications, such as emails and the phone app's push notifications you can turn off.

    AI Processing

Student essays, quizzes, and other content you submit for AI analysis are processed by our AI systems to generate feedback, grades, and insights. We do not use student work to train our AI models without explicit consent.

    Communications

We may send you emails about your account, platform updates, educational resources, and product news. You can opt out of marketing emails at any time.

    Analytics & Improvements

We analyze aggregated, de-identified usage patterns to improve our platform, fix bugs, and develop new features.

    3. Student Data & FERPA Compliance

    Student Privacy

We take student privacy seriously. Student data is processed on behalf of educational institutions acting as school officials. We comply with the Family Educational Rights and Privacy Act (FERPA) and the Children's Online Privacy Protection Act (COPPA) where applicable.

    Data Minimization

We collect only the student data necessary to provide educational services. Student data is never sold, shared for advertising purposes, or used to build profiles for non-educational purposes.

    Parental Rights

Parents or guardians of students under 13 may request access to, correction of, or deletion of their child's data by contacting us at privacy@teachflow.ai.

    4. Data Sharing

We Do Not Sell Your Data

We do not sell, rent, or trade your personal information to third parties.

    Service Providers

We share data with trusted vendors who help us operate TeachFlow — including cloud hosting providers, payment processors, and AI infrastructure partners — under strict data processing agreements.

    Legal Requirements

We may disclose information if required by law, court order, or to protect the rights, property, or safety of TeachFlow, our users, or the public.

    Business Transfers

If TeachFlow is acquired or merges with another company, your data may be transferred as part of that transaction. We will notify you before your data is transferred and subject to a different privacy policy.

    5. Data Retention

    Account Data

We retain your account and associated data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes such as resolving disputes.

    Deleting Your Account

You can delete your account yourself at any time in Settings → Security, on our website or in the phone app (on our website, students find it on their Profile & Settings page and parents on their Settings page). This deletes your account and what's in it, including the photos you scanned with the phone app. When a student deletes their account, their grades and the work they handed in stay with their teacher. Deleting your account doesn't cancel a subscription you bought through the App Store or Google Play: cancel it in your phone's subscription settings.

    Educational Records

Educational institutions may have specific retention requirements. We work with schools and districts to ensure data retention aligns with their policies.

    6. Security

    Data Protection

We implement industry-standard security measures including encryption in transit (TLS) and at rest, access controls, regular security audits, and secure development practices to protect your data.

    Breach Notification

In the event of a data breach that may affect your personal information, we will notify you and relevant authorities as required by applicable law.

    7. Your Rights

    Access & Portability

You may request a copy of the personal data we hold about you at any time.

    Correction

You can update most of your account information directly within the platform. For other corrections, contact us at privacy@teachflow.ai.

    Deletion

You may request deletion of your account and personal data. Some data may be retained as required by law or for legitimate educational purposes.

    Objection & Restriction

Depending on your jurisdiction, you may have the right to object to or restrict certain processing of your data.

    8. Cookies

    Essential Cookies

We use cookies and similar technologies to maintain your session, remember your preferences, and ensure the platform functions correctly. These are necessary for the service and cannot be disabled.

    Analytics Cookies

We use analytics tools to understand how users interact with our platform. You can opt out of analytics tracking in your account settings.

    9. Changes to This Policy

    Updates

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a prominent notice on the platform. Your continued use of TeachFlow after the effective date constitutes acceptance of the updated policy.

    10. Contact Us

    Privacy Inquiries
